Job Description
Leave of Absence (LOA) Specialist
This position will serve as the primary contact for employees by managing leave of absence (LOA) administration for Family Medical Leave (FMLA), Short Term Disability (STD) and Workers’ Compensation (WC). Provide excellent customer service to employees, university leadership, and HRBP’s on all aspects of the claims process by phone and written correspondence. Complete administration of the leave of absence process, including interpretation of federal, state, and university leave policies and procedures. This position is also responsible for the ADA interactive process.

Education
* Bachelor’s degree or equivalent relevant experience preferred.
* PHR certification a plus.

Experience
* 5+ years experience in disability case management, workers’ compensation, and FMLA administration, including ADA interactive processes.
* HRIS and LOA system administration experience required.
* Experience as an HR Generalist preferred.

Primary Duties/Essential Functions

Leave of Absence
* Manage all leaves of absences (LOA), short term disability (STD), and workers’ compensation (WC) claims in addition to the ADA interactive process:
* Point of contact for initiating leaves of absences (LOA), for FMLA, STD, and WC.
* Interprets and clarifies LOA policies to address inquiries from employees, managers and HRBP’s.
* Analyzes STD/FMLA claims to determine eligibility and certification in compliance with state and federal regulations.
* Provide disability case management.
* Assist in answering leave of absence policy related questions by phone or email.
* Communicate absence and return to work information to employee, supervisors, and managers.
* Coordinate with HRBP’s regarding job assignment or reassignment as necessary.
* Process LOA status and coordination of pay through HRIS and electronic timekeeping system.
* Manage all invoicing processes and reconcile received payments for all benefit related contribution and premium payments for employees on leave.
* Make recommendations for external medical evaluations and work with external vendor to find appropriate doctors and type of assessment depending on the circumstances.
* Identifies and immediately escalates potential opportunities for risk/exposure to the university.
* Provides training to departments upon request in the areas of LOA, Workers’ Compensation injury reporting, ADA accommodations.
* Provide HR Leadership Team with regular LOA, Workers’ Compensation, and ADA status reports.

Workers’ Compensation
* Manages all aspects of the Worker’s Compensation claims from initial report of injury through investigation and coordination of benefits. Fulfills all documentation requirements to assure accurate claims management. Works with injured employees and claims adjusters to assure quality treatment and effective return to work.
* Provides oversight for TPA with regards to WC and unemployment claims.
* Work closely with the Risk Manager in assessing trends and communicating injury details on a regular basis.

Other HR Duties
* Work cross-functionally with other HR Specialists (compensation and benefits).
* Conducts HR interviews as needed to support the talent acquisition team.
* Assists with employee relations matters in collaboration with HR Business Partners.
* Serves as staff support for various special projects and/or events.
* Participate in on-going educational opportunities (i.e. webinars, seminars, publications, conferences, etc.) to stay on top of emerging trends, legal requirements, etc.
* Performs other duties as required.
* Regular, punctual attendance as required by the supervisor based on department needs.

Skills
* Experience with LOA administration including FMLA, PDL, ADA, and HIPAA.
* Excellent written, verbal and interpersonal skills.
* Ability to clearly explain complex concepts to a wide range of personnel.
* Ability to quickly build rapport and trusting relationships with people at all levels.
* Strong analytical skills; able to analyze problems and devise viable solutions.
* Effective at managing multiple priorities with a high degree of professionalism and confidentiality.
* Strong attention to detail and confidentiality.
* Working knowledge of other related systems such as HRIS (PeopleSoft), timekeeping (Kronos) and payroll (ADP).
* Ability to assess and implement outsourcing options and systems changes.

Technologies
* Proficient in Google Apps., Microsoft Office, Word, and Excel.
